Who we are
Cognitiveaxiscorp operates an AI-powered hiring platform from 109 Fanshawe Street, Auckland 1010, New Zealand. This policy explains what personal information we hold, why we hold it, and what you can do about it. We are the agency responsible for the personal information described below, and we handle it under the Privacy Act 2020.

What we collect
We collect information in three situations: when you visit our website, when your employer or a recruiter invites you to a screening or assessment, and when you contact us directly.
- Contact details you give us: name, work email, phone number, company name.
- Application data: CV, work history, answers to screening questions, skills test results.
- Assessment data: video interview recordings, transcripts, psychometric scores.
- Technical data: IP address, browser type, pages viewed, cookie identifiers.
- Billing data for paying customers: business address and invoice references.
Why we use it
We use personal information to run the hiring process you or your employer asked for, to score and rank candidates against a role scorecard, and to keep an audit trail of every screening decision.
We also use it to respond to enquiries, to send service messages, to invoice customers, and to meet our legal obligations. We do not sell personal information, and we do not use candidate data for advertising.
Who we share it with
We share candidate information with the employer or recruitment agency that invited the candidate to the assessment. That organisation decides what happens next.
We use a small number of service providers for hosting, transcription and email delivery. They process data only on our instructions and under written confidentiality terms. Where information is stored outside New Zealand, we take reasonable steps to ensure it receives comparable protection.
How long we keep it
Candidate assessment data is deleted 180 days after the screening closes unless the employer asks us in writing to keep it longer. Contact enquiries are kept for two years. Billing records are kept for seven years, because tax law requires it.
You can ask us to delete your information earlier. Where we can, we will do so within 20 working days.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, ask us to delete it, or object to how we use it.
